FreePage / UniPage

Q. What is FreePage or UniPage ?

FreePage is a content management module developed by that powers almost 60% of KVCMS / UniCMS Version x6.

Q. How to create a FreePage ?

Go to FreePage from Dashboard. You can find it under the group "MENU & HOME PAGE MANAGEMENT"

Q. What is FreeBox ?

A. FreeBox is a module that allows you to upload various types of files so that you can embed them in various other pages.

Q. What type of files are allowed in FreeBox ?

A. FreeBox allows many file types. We are adding more extensions on user feedback. If you have a suggestion, please comment below and we will add the extension. Please note that "Server Side Scripts" will not be allowed. As on 25th June 2017, the allowed extensions are listed below.

Q. How to add files in FreeBox ?

A. Open DashBoard > FreeBox

Choose the file and "Upload". You can then see the URL to be used for linking to the file under "Inclusion Path".

The path displayed under "Inclusion Path" can be used within your website only. If you want to put a link to your freebox file in some other website (like facebook,etc), then please add http://your_domain_name/ before the Inclusion Path.

URL automatically changes to Domain_Name/cgi-sys/defaultwebpage.cgi

On typing the domain name in the address bar, it changes to domain name /cgi-sys/defaultwebpage.cgi

*This solution works with Google Chrome

This happens when a new hosting is setup on a server. The issue is temporary and goes away in a few hours. However, if you want to fix it immediately, follow the steps below.

  1. Open Chrome
  2. Press Ctrl + Shift + i
  3. Click on Network
  4. Check Disable cache
  5. Type the domain name in the address bar and press enter. The issue will be fixed.

The account has been suspended

Why is my website is showing "Account Suspended" message ?

Accounts are generally suspended due to one of the following reasons

  • Malicious file(s) are detected in your website by the defence mechanism.
  • You have an overdue outstanding towards the hosting.
  • You have moved out your services to some other server and requested a suspension in old server.
  • Some other policy has been violated by the contents in your website.
  • There is some temporary technical issue with the server.

What should I do ?

You should check your mail for information regarding the reason of suspension. In most of the scenarios. the hosting owner is intimated about such suspensions alongwith steps to be taken. In case you have not received a mail, please Contact Medialab®

Home page and Header data vanished after updating More Info.

Name of institution and address details disappeared after updating More Info.

This issue occurs when certain characters are entered in the HINDI field. This is limitation of Google Hindi API and JSON compatibility.

Solution

Please look for the unwanted character in your More Info page and edit the hindi text to remove that character. The system will automatically rebuild the pages with new data and the issue will be fixed instantly.

Please refer the example below to have an idea of the unwanted character.

What is Free Widget ?

Free Widget can be used to add various items in the home page.

What are the type of contents supported by Free Widget ?

Free widget can be used to display any or a combination of following contents.

  • Plain Text
  • HTML Formatted Text
  • Hyperlinks
  • Images
  • Javascripts
  • IFrames
  • You Tube Videos
  • Other third party (embed) codes
  • Dynamic Google Map

Many other items can be entered. Server side languages like php, asp, aspx, etc cannot be entered as they will be converetd to HTML. Feel free to try other things and let us know in the comment section below so that we can update the list.

How to use Free Widget ?

  1. Click on Free Widgets in Dashboard.


  2. Click on Add


  3. Select a type and proceed accordingly.


  4. Your widget is ready and will appear in the list. Now you need to proceed to Home Widgets to PUBLISH the newsly created widget.

CBSE Norms for Website

The website of a CBSE School MUST contain the following information

  • Affiliation Status
  • Infrastructural Details
  • Staff Details
  • Enrollment Status (Class / Section wise)
  • Postal Address
  • Telephone Numbers

  • Details of Management Committee
  • Transfer Certificates alongwith scanned images of TC.

All the information listed above must be up-to-date as on 15th Sep of a year.

Transfer Certificates should be uploaded at the earliest after being issued.

Smart Search with Sticky Feature

Smart Search

Smart Search shortens the rows displayed on the basis of the text entered in the search box. The shortning happens in realtime and the result is displayed as soon as any character is enetered. It searches only across the columns specified in the searchbox hint by the developer.

So if we search for all rows containing MIR, the system will display rows contaning MIR in Region, KV Name, KV ID.
The search is NOT CASE SENSITIVE.

Sticky Search

Sticky Search comes in handy when you want to shortlist rows on matching multiple cells.

If sticky is turned on, and you type a word, the list will be shortened. When you clear the test by pressing backspace, the list will not be reset and will be stuck at the shortlisted set. Now if you type in the other search word, the list will get shortened further.

So If we want to search for KV contaning MIR in name and located in Jammu Region, we will first turn on sticky and then search for jammu and then mir or first for mir and then jammu.

First searched for MIR and then Searching for jammu with sticky on

Vocational Subject (Switch b/w Marks/Grades)

The portal allows entry of Marks or Grades for a few subjects in classes 6 and above.

The system works as explained below.

If a subject like ICT,  AI, etc is marked as Active Subject by the class teacher, the system will allow entry of marks by the concerned subject teacher. If the class teacher assigns the co-scholastic subject ICT,AI,etc to a teacher, then the teacher can enter grades for the same.

In the report card, the subject will show up in the main marks table if the Subject is Active for the class and section.

It will show up in the co-scholastics if grades have been entered for the same. There is nothing like Active or Inactive Co-scholastics. Simply assign it to a teacher, the teacher enters grades, and they start showing up in the Report Card.

STAFF PERFORMANCE ANALYSIS SPA-01 AND SPA-03

THE STAFF PERFORMANCE ANALYSIS HELPS THE RO TO TRACK AND MONITOR THE PERFORMANCE OF A STAFF.

THE SPA-01 GIVES YOU THE OVERALL PERFORMANCE OF AN EMPLOYEE FOR THE CLASSES ASSIGNED ALONGWITH THE PASS% MARKS SUBJECT ETC.

THE SPA03 GIVES THE PERFORMANCE REPORT TEACHERWISE ALONG WITH THE STUDENT LIST AND MARKS FOR CLASS 10TH AND 12TH.

UNDER THE ENROLLMENT REPORTS ONE CAN FIND THE KV WISE SUMMARY(F-1), KVWISE DETAILED SUMMARY(F-2) AND CATEGORYWISE SUMMARY (F-3).

KV WISE SUMMARY (F-1) :-

UNDER THE KV WISE SUMMARY NUMBER OF SECTIONS, ENROLLMENT AND AVERAGE STUDENTS OF A PARTICULAR CLASS IS GIVEN.

GREEN INDICATOR(<40) INDICATES THAT THE CLASS/SECTION IS UNDER BOOKED AND HAS VACANCY FOR THE STUDENTS.

WHITE INDICATOR(40-50) INDICATES THAT THE CLASS/SECTION IS BOOKED AND GOOD TO GO.

YELLOW INDICATOR(50-54) INDICATES THAT THE CLASS/SECTION IS MODERATELY BOOKED.

RED INDICATOR(>54) INDICATES THAT THE CLASS/SECTION IS OVERLY BOOKED AND NEEDS ATTENTION FOR EXTRA SECTION.

KV WISE DETAILED SUMMARY:-

TOTAL STUDENTS IN A PARTICULAR SECTION CAN BE SEEN IN THIS REPORT ALONG WITH THE GRAND TOTAL OF THE STUDENTS THAT PARTICULAR SCHOOL.

Getting Started Guide - KV Admins

This article includes all the mandatory (and optional) steps required to be carried out to start entering marks of Monthly tests for classes X and XII in the MIS Portal. Though the portal also features Holistic Progress Card for Balvatika, Skill Based Report Card for Classes I & II, Marks based Report Card for classes III-IX and XI, Attendance System with real time alerts to parents and many other features, this article focuses on Monthly Tests for Classes X & XII. All the links can be opened to have a detailed guide.

MANDATORY STEPS TO BE CARRIED OUT BY KV ADMIN

1. Open MIS Portal

To get started with, simply open the web browser (We recommend Google Chrome) and open the website https://mis.kvsindia.in or simply mis.kvsindia.in

The portal can be opened on any device with a web browser. It includes but is not limited to Desktops, laptops, chrome books, tablets, smartphones, smart television sets and all devices having a browser and internet connection.

2. Login as a Kendriya Vidyalaya

Select the role as kendriya Vidyalaya. In the login ID field, enter your 5 digit Numeric ID and in the password field, enter the password that you have received from Your Regional Office or Medialab®.

 3. Update your profile

The system will then prompt you to update your basic communication info and some other basic details. You can also update these details later from the profile section.

4. Add Employees

Once you have reached the dashboard, only 2 mandatory tasks remain pending in the "Get Started" list. One is adding employees and second is assigning classes to class teachers. To add employees in the system,  go to Adding Employees

 5. Assign Classes to Class Teachers

After adding / uploading employees, it is important to make class teachers. To make class teachers, go to Assigning Roles to Employees

Here it is important to note that assigning class teachers can be done only by the KV Admin. Assigning subjects to subject teachers can be done by KV Admin as well as class teachers. So Assigning subject teachers is an optional action for KV Admin as it can also be carried out by class teachers.

Similarly, uploading students can also be done by the KV Admin for the whole school or by class teachers for their respective classes. The process is very simple and can be understood by reading the article Adding (Uploading) Students

 

OPTIONAL STEPS TO BE CARRIED OUT BY KV ADMIN
(As they can also be performed by Class Teachers)

 6. Uploading Students in the portal

  • Students for the entire school can be uploaded in a single go.
  • Simply download the Students list from UBI Portal. No need to filter out students that have taken TC.
  • Open the downloaded Excel (xlsx) file in MS Excel and rename the sheet “AllstudentDetails” to “Data” or any other word. (This step is required as the ubi file has an error in encoding the sheet name and renaming the sheet fixes the issue.)
  • In the MIS Portal, goto “Upload Students Data” link available in the Dashboard of KV Admin.
  • Upload the excel file prepared above. (Downloaded from ubi and sheet renamed)
  • All active students will be imported in the system and aligned with their respective class and sections.

7. Assigning subjects to subject teachers.

This step can be carried out by the KV Admin or by the class teacher. Mixed action is also allowed where a few teachers are added by the Admin and rest by Class Teacher. Either of them can also edit entries made by each other. To know details of the process, please go to Assigning Roles to Employees

How to Login

FIRST GOTO THE LINK mis.kvsindia.in YOU WILL BE DIRECTED TO A LOGIN PAGE. THE LOGIN PAGE WILL ASK YOU TO SELECT ROLE  AND TO ENTER YOUR LOGIN ID AND PASSWORD.

YOU HAVE TO SELECT FROM THE 5 ROLES I.E HEADQUARTERS,REGION, KV, EMPLOYEE AND STUDENT/PARENT.

FOR REGION THE LOGIN ID WILL BE THEIR REGION CODE AND DEFAULT PASSWORD FOR NEW USER.

FOR KV THE LOGIN ID WILL BE THE 4 DIGIT KV CODE AND PASSWORD WILL BE THE THE DEFAULT PASSWORD FOR NEW USER.

FOR EMPLOYEE THE LOGIN ID WILL BE THEIR EMPLOYEE CODE PROVIDED BY THE KV AND PASSWORD WILL BE DEFAULT FOR NEW USERS.

FOR PARENTS/ STUDENTS THE LOGIN ID WILL BE THE STUDENT’S UBI CODE AND THE PASSWORD WILL BE THE DOB IN DD/MM/YYYY FORMAT. FOR E.G:- 2 MARCH 2014 CAN BE WRITTEN AS 02032014.

NOTE:- THE DEFAULT PASSWORD IS TO BE COLLECTED FROM MEDIALAB FOR THE FIRST TIME USERS. AFTER LOGING IN FOR THE FIRST TIME THE SYSTEM WILL ASK YOU TO CHANGE THE PASSWORD THEN AND THERE ONLY.

STEP IN

STEP IN IS A SPECIAL FEATURE PROVIDED IN KV PANEL THROUGH WHICH THE KV CAN LOGIN INTO THE ACCOUNT OF ANY EMPLOYEE WITHOUT ANY PASSWORD. THIS FEATURE IS PROVIDED TO CHECK THE UPDATE OF ANY EMPLOYEE IN CASE HE/SHE IS ABSENT OR UNAVAILABLE DUE TO SOME REASONS.YOU CAN FIND THE STEPIN FEATURE UNDER MANAGE EMPLOYEE, VIEW CLASS TEACHERS/CHECKERS,VIEW SUBJECT TEACHERS, VIEW CO-SCHOLATICS. A LOG IS ALWAYS MAINTAINED SO AS IN TO KEEP RECORD.

 

YOU DO NOT HAVE TO LOGOUT FROM THE STEPPED IN ACCOUNT SIMPLY CLOSE THE WINDOW AS A NEW WINDOW OPENS WHEN YOU STEPIN.

A MESSAGE IS ALWAYS DISPLAYED AT THE BOTTOM WHILE YOU ARE STEPPED IN ANY EMPLOYEE ACCOUNT.

  1. Remove Role Selection in Login Page. The system will auto identify the user role from the login ID. This will lead to a faster user experience.

Features Listed for discussion

  1. KV can set the date and time of online publication of result. Thus parents will be able to see a clear message stating if and when the result will be available online. This will also free KV from the pressure of turning on the result manually in exact time.
  2. Bulk Unlock. KVs will be able to select multiple rows of Locked Marks Entry and Unlock them together.
  3. Smarter search in pages with too many rows to have a faster sorting and short listing of rows.
  4. QR Codes in report cards that can be scanned to verify the contents of the document. Plans are to have it work both offline for first level verification and online for advanced verification
  5. Unlocking of Nodal Entries. RO can unlock an entry that has been finalised by the Nodal Center. Currently this is done manually by Medialab® on receipt of mail from concerned RO/Nodal KV.
  6. Annual Planner
  7. Photo of Students in Report Card
  8. Signature printing. KVs can upload signatures of Principals, Vice Principals, Head Masters and Exam Incharges. They can choose to have the uploaded signatures printed in the report cards. Checkers and Class Teachers will have to put the signature in Pen only.

Adding Marks

From Employee Dashboard, click "Marks Entry"

All Classes and Subjects assigned to you will be listed. For each subject, you will get the option to enter marks for each exam

Click on Exam for which you want to enter the marks.

You will get the form. The system will take you to view page if marks for that exam have already been entered.

Fill marks for each student and submit. Any anomaly will be detected by the system and you will be prompted to correct the error

You can view the entry that you have made.

The system has also updated the weightage which is visible in the marksheet.

Getting Started Guide - Subject Teachers

MANDATORY STEPS TO BE CARRIED OUT BY THE SUBJECT TEACHERS

1. Entering marks of students

  • The employee should login as an employee and click on the “Subject Teacher” link in the dashboard.
  • Here, he will see all the classes and subjects that he has been assigned to him.
  • The exams (Monthly tests (Referred as MT) in case of Classes X & XII) will be listed and they will appear in maroon colour indicating that marks have not been filled for the particular exam/MT.

  • Click on the applicable button and proceed with entering the marks.
  • For entering the marks, enter the Maximum Marks for the particular exam. It can be anything from 5 to 100. You can use different values for different exams / subjects as system will convert them to applicable weightage as per rules (in case of non-board classes) and to Percent (in case of X & XII)
  • Enter marks for every student in the list and mark absent if a student is absent. Submit the form once done.
  • Once marks have been entered, the respective button will turn Green.
  • On clicking the green button, Mark slip with detailed analysis will be displayed.

Adding Students

Download Students UBI File for your school from the UBI Portal. The downloaded file will be in xls format.

Open it in MS Excel and save it as xlsx

No need to make any modification in the content. No need to delete header, etc. The system will take care of everything.

Click on Upload Students Data

Choose the xlsx file and upload

The system will process the data. All ACTIVE students will be inserted and rest will be skipped. At the end, you will get a report with number of records processed and those skipped.

In case you upload the same file again, no record will be imported as all students are already in the system. In case more students are added in future, you can simply upload the New file without the need to remove old students. The system will detect the Duplicates and skip them.

Editing of student Data will be made available in near future.

VIEW STUDENTS

THE KV CAN VIEW THE LIST OF STUDENTS ONCE THEY HAVE UPLOADED THE DATA. THE KV CAN PINPOINT THE LIST OF STUDENTS BY USING FILTERS.

THE KV CAN USE FILTERS AND ALSO SEARCH A STUDENT BY NAME USING THE SEARCH BAR AND CAN ALSO DOWNLOAD THE DATA IN EXCEL SHEET OR PDF FORMAT AND CAN ALSO TAKE THE PRINTOUT.

ONCE THE SEARCH IS COMPLETE ALL THE PERSONAL DATA RELATED TO THAT PARTICULAR CLASS/STUDENT IS DISPLAYED.

Change Section of a Student

Before changing section of a student, the following points must be noted.

1. If any entry of marks, attendance or co-scholastics has been made for that student, the same will be deleted and should be entered again after shifting the student.

2. A summary of all such entries will be displayed before the deletion. It is the responsibility of the person executing the shifting to save the page and get the entries done again after shifting.

The Process

In the KV Dashboard, Go to "View Students"

Set filters to get the student listed

 Use the search option to find the student in the list

 Click the Pencil Icon in Section Column 

In next page, all the entries made for the concerned student will be displayed.

Please note that these entries will be deleted. Take a printout or save a pdf of the page using the "Click to Print" button

 Select the new section, enter remarks, check the consent box and submit the form. The entries will be deleted and the student will be shifted to the new section immediately.

Attendance Alerts (Notification) to Parents

MIS Portal supports real time alerts to parents of absentees either by SMS or Email. The KV Admin can select the alert mode between None / SMS / Email for each Class & Section individually.

Adding Employees

Employess can be added only by the KV Admin.

To add employee, Click Add Employees from Dashboard

Set "Default Password"

Since it may not be very practical to convey random password to each employee, we allow setting a default password which can be changed anytime. Any employee added in the system will be assigned the default password set in the system at the time he is added. Changing the default password will not affect the passwords of the employees who have already been added in the system even if they have not updated their password.

Adding Employees

Employees can be added one by one or in bulk. While adding in one by one mode, only basic info is to be provided. Remaining things can be updated later by the employee and the school.

The employee code is used to prevent duplicate entries.

On successful insertion, the employee code becomes the login ID for the employee with the default password. (The default password is displayed when you add an employee.)

First, download the sample file

Enter data in the downloaded file. None of the fields are mandatory. All that we need is the Employee Code. All other data can be edited one by one by KV or Employee. Save the file and upload. The system will insert all the new employees.

Assigning Roles to Employees

The employees can be assigned Roles under 3 Categories

  • Subject Teacher (Enters marks for assigned subjects)
  • Class Teacher (Enters Attendance, CoScholastic Grades, etc. Assigns roll nos., generates report cards, etc)
  • Examination Committee I/C or member (Monitors entries and Generates report cards)

Click on Manage Employees

Subject Teacher

Click on Subject Teacher Link

You will see a list of currently assigned subjects for the particular teacher

To assign new subject, select Class & section. As soon as you change class, the subjects field will be saturated with all the subjects applicable for that class. Select the section and appropriate subject for the employee.

Assign Subject. Now the employee will be able to add marks for that subject.

Class Teacher

Click on Class Teacher Link

Select Class, Section and Role and then click Assign Class

The employee can now manage the class as a class teacher.Similarly the employee can be assigned as checker.

To port the Employees from previous session

The KV needs to login into the portal mis.kvsindia.in using the new KV Id. You can find the new KV codes in the login panel itself.

After the login move to the Employee management section and select import from 2022-23. Now there you will get a list of all the Permanent Employees in the KV. Now start by selecting the checkbox one by one in order to import them. Contractual Employee list will not be shown in this. For contractual Employees the kv will need to add them again from Add Employee panel in case they continue to serve.

Once the employees are selected press the import button at the bottom of the list, this will import the employees and the system will prompt the message.

Incase if any employee is already added into the new session the system will automatically prompt the message Already present in the current session.

Note- The employees will be migrated from the previous session to the new session with their old passwords as well. So the employee simply needs to LOGIN as they did earlier. Incase of a new KV joining for the current session they will need to update the employee details manually.

VIEW/UNLOCK ENTRIES

THE VIEW/UNLOCK ENTRIES HELP THE KV TO SEE WHICH MARK ENTRIES ARE LOCKED BY THE CHECKER AND ALSO UNLOCK THEM ON REQUEST BY ANY EMPLOYEE. THE UNLOCK CAN BE DONE BY PRESSING THE UNLOCK BUTTON

ALL THE ENTRIES ARE LOGGED WITH DATE AND TIME ALONGWITH THE NAME OF THE EMPLOYEE.

AS SOON AS YOU PRESS THE UNLOCK BUTTON THIS MESSAGE WILL POPUP THEN YOU PRESS OKAY THEN IT WILL GIVE A MESSAGE THAT THE ENTRY HAS BEEN UNLOCKED AND THE UNLOCK BUTTON WILL VANISH FROM THERE. THIS MEANS THAT THE ENTRY IS NOW UNLOCKED.

RESULT DECLARATION OPTIONS

For online publishing of result the admin needs to login into the admin panel and then go to Result management section. In that section select the online publishing of result.

    Now select the classes that you want to publish the results for and the respective term then click. 

Then the result will be published online and the system will display the following message.

Note- To stop report cards of a particular class from being visible to parents, uncheck the related checkbox and update publishing.

RESULT ANALYSIS

The kv can see the result analysis based on the marks entry for the whole vidyalaya. 

After the marks entry is done for all the subjects , then the kv needs to click the prepare button and the result will be prepared. The date and time of the result preparation is logged.

 

Now when you are seeing the result analysis after the marks entry again then click on recalculate in order to get the correct value.

 

OVERALL RESULT-

 NEED TO CLICK THIS BUTTON.

The overall result will be displayed for that particular class along with the student name ,teachers name and subjects. This will give an overview of the result of that particular class.This format is also printable directly. 

PROFORMA A-

The proforma a gives you the result based on grades that is how many have scored a particular grade in a particular subject for that class.

Also percentage of the grades alongwith the subjects and teachers name is also shown in the report.

SOCIAL CATEGORY-

The reports here are shown based on the social category that is how many students belonging to a particular social group have obtained what grades or marks.

PROMOTION LIST-

Next the promotion list is prepared by the system based on the result.

NOTE- All the reports mentioned above are ready to print directly. Also it is advised to press the recalculate button befor seeing the reports.

REPORT CARDS and Green Sheets

AFTER PREPARING THE RESULTS THROUGH SYSTEM THE KV CAN SEE THE REPORT CARDS FOR ALL STUDENTS.

THE KV CAN SEE THE REPORT CARD BY CLICKING THE TERM1/TERM2 BUTTON.AFTER CLICKING  THE BUTTON THE SYSTEM SHOWS THE REAL TIME IN WHICH THE SYSTEM HAS GENERATED THE REPORT CARD.

A SAMPLE OF THE REPORT CARD GENERATED IS SHOWN ABOVE. ALL THE REPORT CARDS ARE PRINT READY.

Result Date-

Choice of reult date can be printed in the report card. Simply click on  button and put in the desired date and then update it the desired date will be reflected in the report card of that particular class.

Update Signee in Report Card

Signee- A person who is authorized for signing the reportcards of the students.

To update the signee record in Report card the admin needs to goto the "Report Cards & Greensheets" page from dashboard.

Printing of Report Cards

The printing of report cards can be done from the admin panel.

The admin needs to goto  

After clicking the report cards will be visible for all students in the class

Now the admin needs to press (ctrl+P) . This command will open the printing options

The admin can take print directly or can save the pdf for later use.

Tips- For Ideal printing Please select the paper size as "A4" and Layout as "Landscape"

Select the margins as custom and deselct the Header and Footer  and Background graphics Option.

Turn off (Uncheck) Headers and Footers.

Turn ON (Check) Background Graphics if you want the watermark in the background. Turn off Background Graphics if you do not  want the watermark in the background.

Set Margins as "Custom"

Set margins as required. Recommended value is 0.2" on all 4 sides. But you can choose it as per your choice.(Drag and adjust margins to get a perfect fit)

If you still do not get the Report in one page, Change scale to custom and choose a value around 95-99.

Grace Marks Management

The grace marks can be added into the report card. This can be done from the admin panel.

 

You can start the search by typing just the 3 letters of the name or UBI Id, then by selecting the class.

The list of students with matching name or id will be displayed.

Then click on manage to add grace marks for the desired student.

The above box will appear, the subject which student has chosen will only be displayed in the dropdown menu of the select subject tab.

Then select the desired Grace marks for the student and write the remarks if any.

Now click on the Acknowledgement and proceed with update grace marks.

The system will prompt the message

By clicking on view all entries you can see the history of the grace marks provided.

The score of 30 has been converted to 33 by adding Grace of 3 marks.

Supplementary Management

IMPORTANT: Supplementary Report Cards can be Printed from Supplementary Section only.

The facility to enter supplementary marks and print Supplementary Report Cards is available in the School's (KV Admin) Panel.

On clicking the above link, you will see all sections of 9th and 11th. If the analysis has not been prepared or is very old as per system's algorithm, you will be prompted to rebuild the data first. Once ok, the option to manage supplementary results will be available for each class.

On clicking the link for a class, you will see all subjects that have failed students in that Class & Section. Click on a subject to manage supplementary marks for that subject.

 

On clicking a subject, all students (of selected class and section) appearing in Suuplementary exam for that subject will be listed.

Please enter marks secured for each student. There is no provision of marking absent in supplementary. A student not appearing in exam should be given 0.

Enter maximum marks against which the supplementary exam has been taken, It is 80 or 70 in general. But you can enter any value and system will make calculations as per rules.

If the marks have already been entered, you will get the option to edit.

Once all marks have been entered for a student, the supplementary report card and original report card (Before supplementary) can be printed for that student. To do so, click on the link "Print Report Cards"

The system will list ALL student in that class that are supplementary.

Clicking on "Original" will render the Report Card as Seen before entering supplementary marks. Clicking on "Supplementary" will render the report card after adding supplementary marks.

The date is printed in the footer of the Report Card. This can configured for each class separately.

To update the information, go to "Report Cards & Greensheets" from KV Admin's dashboard.

Class Teacher panel features for Class(1-8)

Enrollment Count-

After getting the role assigned as class teacher, the teacher can see the enrollment count.

 by clicking this link.

The class teacher can see the enrollment report class wise and category wise for the classes assigned.

Student List-

The student list shows all the students in your class. It contains all the personal details of the students.

 The pencil button can be used to edit the details of any student and update it.

The status button can be turned on/off. Once this button is turned off the particular student will not be seen in any record except for the class teacher. Suppose a student has taken TC and has left the school, the class teacher can turn off the status of that particular student so that it's record is not shown anywhere like marks entry, report card etc. This can be considered as deleting the student but it will be always available in class teacher's record.

 The class teacher also has the right to stop the online publication of result for a particular student. once the button is turned off the result will be prepared it will be shown in report card but it won't be visible to parents in their portal.

Roll Number-

The roll number can be updated by the class teachers. The default roll number will be 0 for all the students, after that the Class teacher needs to update the roll number accordingly.

After entering the new roll numbers press 

Attendance-

The class teacher needs to update the attendance for the students.

The attendance is visible in the marksheet. After entering the attendance click update attendance.

Incase of online classes click 

Remarks-

The teacher can update remarks for students which will be visible in the student/parent portal.

For giving remarks, the class teacher can either select whole class at once by clicking on the topmost box or can give remarks one by one by selecting the students.

The remarks can be either given from the set of predefined ones or can be given in a customised form by typing into the comment box.

After giving the remarks click on update remarks. The remarks given will also be visible in front of the students name in the class teacher panel.

Overall percentage-

The overall % obtained by the students can be seen by the class teachers based on the marks entry.

 Marks entry-

The class teacher can also see the marks entry for their respective classes. The marks entry is displayed alongwith the subject name, exam name, maximum marks, entry date and time and entered by/ locked(status which is obtained when the checker locks the marks).

 Report card-

The report card can be seen by the class teacher based on the marks entry by subject teacher of their class.

Features of class teacher panel for (9-12)

The class teachers panel for 9th ,10th, 11th& 12th will contain the same features as discussed in the previous article except two features.

Manage Subjects-

Since the higher classes have elective/optional subject so there is high chance that a student or more might choose different subjects. So in order to allot the subjects the teachers needs to update the subject for each student.

This can be done Either by selecting the subjects one by one and updating it for the student or by selecting the same subjects for all the students at once if all have the same set of subjects. The mass selection can be done by clicking the box given above the name of the subject.

After selecting the subjects for students the class teacher needs to click update subjects for the selected students.

After updating the subjects for the selected students the tick mark will be displayed all  the time on the selected subjects for the students in front of their name. In case of any changes simply remove the tick mark by clicking on it again.

Note- The class teachers of higher class needs to manage subjects first because then only the students will be visible to the subject teachers of that class.

Note- The predefined subjects are based on the feedback. If at all any subject is not present which is applicable at your school, then the respective authority can contact us and we will add the new subject.

 

 MANAGE STREAMS(APPLICABLE FOR CLASS 11TH AND 12TH)-

 

Manage streams is applicable for classes 11th and 12th to select the streams of the students. It is done so as to biffercate the students stream-wise.

For managing the streams the class teacher needs to select the students either one by one or can do mass selection and then click on the desired stream and press update streams for selected students.

Note- The Stream selection is to be done before the subject selection by the class teachers.

 

Class 10&12-

For class 10th and 12th monthly tests are taken therefore only for these classes the class teacher can view the Monthly Tests Status,Month wise Test Report,Subject wise Test Report.

 

Monthly test status-

The monthly test status shows the entry status of the test marks by the subject teacher. The class teacher can either view the overall entry at once or can view the status one by one.

Attendance Module

We are happy to announce the attendance module for our esteemed users.

The attendance module is present in the employee tab for the class teacher to use for taking the daily attendance. The attendance is taken for 2 meetings for a given date. Only the absentees are to be marked by the teacher, rest everyone will be considered present.

Once the attendance for the meeting will be entered, then a total report will come in front along with the List of Absentees , total absent, total present, total students will be shown.

PTM List

The PTM list can be updated through the class teacher panel and printout can be taken. The date is editable directly on the list, there is no seperate button.

when you click on the date part a dropdown will come and the selection can be made.

Similarly at the bottom of the list the name and designation is editable and also the whole list is downloadable and printable.

After pressing on click to change the following dropdown appears and you can select the desired name of the signee.

When I click on import students only list of class XA of previous session is visible, While many students of X B and X C opted Science stream in Class XI. How to add them ?

Please search for student by Name. The system will search across all students in all sections of Class X.

  • In the ID field, he should enter the Employee Code (Provided by Kendriya Vidyalaya Sangathan) or the Employee Code provided by the KV Admin (If employee is a contractual employee).
  • In the password field, the employee should enter the default password that has been set by the admin before adding the employees in the portal.

2. Uploading Students in the portal

If the KV Admin has not uploaded students, the same can be done by Class Teacher too. Here they need to download the file from UBI for the students of their respective classes and upload the same in the portal. In case the school has already uploaded students, the uploaded data will not be overwritten and no duplicates will be created if the file is uploaded again by a class teacher. It also applies to vice-versa.

4. Marking of Active Subjects

Since the project caters multiple KVs across various regions, we have included various subjects in the list. The Class Teacher needs to mark the subjects that are taken by any student in the Class-Section. For this, the class teacher should go to the “Manage Active Subjects” link under “One Time Configuration” Section in the Class Teacher Zone. Here, all the subjects that are to be used should be selected and submitted.

5. Assigning Subjects to Students

Once the Active Subjects have been marked using the above step, the class teacher should assign subjects to students. Subject teachers will be able to view and give marks only to students who have opted respective subjects.

6. Setting up role numbers.

Though not mandatory, it's a good practice to update roll numbers as that affects the sorting of students when viewed by the subject teachers and also in all reports. In case roll number is not assigned in the system, students will be sorted by Name.

Feature of checker panel

The duty of a checker is to check the marks entered and lock them from further editing by the subject teachers.

Once the checker logs into the panel, then they are displayed the list of classes assigned to them. There they can see respective  and 

 

Entry status and markslip-

After clicking the button, the checker will see a list of subjects and exams name for that respective class. The checker will see  button and click it.

After clicking the button the checker will verify the marks and press (mark as verified and lock). If they find some error , then they will press (report an error).

After  is pressed, then the message  is popped up and after pressing OK  the status of that subject and exam changes to

is popped up and  the checker will write a description about the error and send it to the concerned teacher and the communication history will be shown to the checker.

 

The checker can directly call the teacher by pressing the  sign.

 

Note- Once the checker has verified and locked the marks even the checker can't unlock it that authority lies only with the KV panel.

 

Note- All the communications sent by the checker will be shown to teacher in the check notes panel after their login.

Adding a new website (Domain or Subdomain)

1. Go to Files folder and navigate to wwwroot

2. Create folder for the new website or subdomain. A folder can be created in root or inside another folder.

3. Upload the contents in the newly created folder. (Can be done later too)

4. Go to Website Link and add Website

5. Enter the website URL and click the browse button to select Website Path.
If the directory is not created using steps 1 & 2 above, then simply type a suitable name and it will be created by the system

6. select the directory and proceed to add the website

Entering Marks for Competencies

Entry can be done by Balvatika Teacher. To start, click on "Marks Entry" after logging in as "Balvatika Teacher"

Select a student (Click on Term I or Term II)

Enter Marks (Grades) By selecting L (Learner), P (Progressive) or PRO (Proficient). They are indicating by Red, Orange and Green Colours respectively.

SMS Service User Manual

Who can send messages ?

SMS messages can be used by KV Admins and Class Teachers to mobile numbers of the parents registered in the portal mis.kvsindia.in

What content is allowed in SMS ?

SMS Content will be template based. Class Teachers / KV Admins can fill data in the variable part to send a message.

What will be the Sender Name ?

Messages will be sent from UNISMS. Name of the KV Sending the message will be displayed at the bottom of the message . This concept has many advantages for the KVs and Technical Team. A detailed article on this can be viewed in the KV Admin Panel.

What will the name of KV sending the SMS ?

KV Admin has to set a name within 20 characters (including spaces) which will be included at the bottom of each SMS. The name can be changed any number of times.

What will the price ?

Pricing depends on the SMS Balance Top Up Package selected by the KV Admin from the SMS Management section in the MIS Portal. There are various packages ranging from 500 SMS to 1 Lakh SMS and the price varies according to quantity. Detailed pricing is given in the SMS Management section in the MIS Portal

How to recharge ?

KV Admin needs to select a package and place an order. A challan will be generated which shall be used to make payment. Payment can also be done by UPI. Once the payment has been made, the KV Admin shall update the payment details in the portal. 10% of the quantity ordered will be update in the SMS balance immediately and the remaining 90% will be credited in a few hours after the payment has been verified by the SMS Monitoring Team.

How to authorise staff to send SMS ?

Since most of the SMS are auto composed, the admin has to turn on the Automated SMS sending for each class along with the Auto messages to be sent. Further, each staff member can be given additional authority to send Template based messages along with the classes he is authorised to address. A detailed article on this Authorisation Management will be published separately in this Knowledge based portal.

Practicals - Adding New Practical in Master

Any KV Admin can add new practical that is not listed in the system. However, the entry needs to be approved by moderators before it can  be used by any KV. A practical added in the system and approved by the moderator can be used by all KVs in the portal.

The following information needs to be provided for adding a practical in the system.

1. Class - If a practical is applicable in more than 1 class, (say XI and XII), it needs to be added separately as 2 different entries for both classes.

2. Subject - Subject needs to be selected from the list of subjects available. Only scoring subjects are listed.

3. Type - One of Practical/Project/Activity should be selected.

4. Short Code - A 6 Digit Code should be assigned to the practical. This code will be displyed in reports. The code should be unique in the system for that particluar class.

5. Title - A title within 50 Characters should be provided. This will be the common name of the practical.

6. Description - Detailed description of the Practical. It should elaborate the practical to avoid any ambiguity.
